Prepare every scan batch before joining
Scanned paperwork often arrives as separate PDFs—one from each scanning session, one for each side of a form, or one batch per folder. Joining these files makes the record easier to archive or submit, but the merge will not automatically correct poor scans. Check orientation, internal page order, blank sheets, and legibility before building the combined document.
Think about how an administrator, reviewer, or future reader will follow the record. For a multi-part form, keep the pages in the required sequence. For a group of dated records, sort the source files chronologically and keep related attachments beside the document they support.
How to merge scanned PDFs
- Check each source batch. Open every scan and confirm that its pages are upright and complete. Remove unintended blank pages or correct rotations in a separate PDF editor before merging if they would make the final record harder to use.
- Add the ready-to-merge files. Select the scan PDFs that belong in one record. Use meaningful file names or batch labels to distinguish the batches and reduce the chance of accidentally selecting the same scan twice.
- Arrange the batches in sequence. Place the earliest or introductory batch first and follow the intended document order. For signed forms or application evidence, follow the recipient’s stated order rather than relying on the order in which files were downloaded.
- Inspect the combined scans. Download the result and check the first page, the boundary between each batch, and the final page. Make sure no pages are missing, duplicated, sideways, or difficult to read at normal zoom.
Merging does not make image-only scans searchable
If a scanned PDF contains page images rather than text, the merged document will normally keep those images as they are. OCR is a separate recognition step that adds a text layer. Use OCR afterward if people need to search for names, dates, reference numbers, or text in the scans.
Watch output size and signatures
High-resolution scans may make the result large because the merge does not optimise or recompress the page images. Check any upload limit before submitting the file. Digital signatures may no longer validate after modification, so keep the original signed PDFs and follow the recipient’s requirements when signature validity is important.
